Acceptance of terms
By creating a Beacon account or using the service, you agree to these Terms of Service and to our Privacy Policy. If you're accepting on behalf of a dental practice, you represent that you have authority to bind that practice to these terms.
What Beacon provides
Beacon is a software service that ingests aggregate practice operating data from your practice-management system, accounting system, and Google marketing properties, and renders dashboards and AI-generated insights derived from that data. We do not provide clinical advice, financial advice, legal advice, or tax advice. The insights are operational suggestions for your team to evaluate; the decisions remain yours.
Your account
You're responsible for maintaining the security of your account and all activity that occurs under it.
- Keep your password confidential and rotate it if you suspect compromise.
- Provide accurate, current, and complete information when you sign up and keep it updated.
- Promptly notify us of any unauthorized use of your account.
- Don't share your account with people outside your practice team — invite teammates instead.
Acceptable use
Use Beacon only for the lawful, intended purpose of running your dental practice. You may not:
- Upload data that contains personal health information you don't have authority to process.
- Attempt to access another practice's data or otherwise circumvent the multi-tenant isolation.
- Reverse engineer, decompile, or attempt to extract source code or AI prompts from the service.
- Use the service to send unsolicited communications, malware, or abusive content.
- Probe, scan, or test the vulnerability of any Beacon system, or breach any security or authentication measures.
- Use Beacon's APIs or features in a way that materially exceeds normal practice usage (excessive uploads, scraping, automated load).
Your data
You retain all rights to the data you upload or connect. By using Beacon, you grant us a limited license to process that data solely for the purpose of providing the service to you — including running our PHI sanitizer, generating AI insights from the aggregate metrics, and showing you dashboards. We don't sell your data, share it with other practices on the platform, or use it to train AI models. See our Privacy Policy for details.
Subscription, billing, and trials
Beacon offers paid subscription tiers. Specific pricing, billing cycles, free trial terms, and refund policy are described on our pricing page and your account billing settings. Subscription fees are billed in advance and are non-refundable except where required by law.
Cancellation and termination
You may cancel your subscription at any time from Settings → Billing. Cancellation takes effect at the end of the current billing period. We may suspend or terminate your account for violation of these terms, non-payment, or extended inactivity. If we terminate, we'll give you reasonable notice and an opportunity to export your data unless the termination is due to a serious breach.
Data after termination
When your account is terminated or you delete it, we remove your practice's aggregate metrics, tasks, goals, and integration tokens from active databases within 30 days. Backups roll off on their normal schedule (currently 7 days for point-in-time recovery). You're responsible for exporting any data you want to retain before termination.
Third-party integrations
Beacon connects to third-party services (QuickBooks, Google, etc.) at your direction. Your use of those services is governed by their own terms, not Beacon's. We're not responsible for the availability, accuracy, or security of third-party data or services. If a third-party service changes or removes an API, the corresponding Beacon feature may stop working until we adapt.
AI-generated insights
The insights, recommendations, headlines, and actions produced by Beacon's AI features are generated by large language models based on the operating metrics you provide. They are intended as starting points for your team to evaluate, not as authoritative directives. AI output may contain errors, omissions, or recommendations that don't fit your practice's specific context. You are responsible for reviewing and exercising professional judgment before acting on any AI-generated suggestion.
Service availability
We aim for high availability but do not commit to a specific uptime SLA at this time. We may perform maintenance, push updates, or take the service offline temporarily; we'll communicate planned downtime in advance where practical. Beacon is provided "as is" without warranty of uninterrupted operation.
Disclaimers
Beacon is provided on an "as is" and "as available" basis without warranties of any kind, express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, accuracy, or non-infringement. We do not warrant that the service will be uninterrupted, error-free, or that defects will be corrected. Operating metrics, AI insights, and dashboards are informational tools — not professional advice.
Limitation of liability
To the maximum extent permitted by law, Beacon and its affiliates, officers, employees, and agents will not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, or business opportunities, arising from your use of the service. Our total cumulative liability for any claim relating to the service will not exceed the amount you paid us in the twelve months preceding the claim.
Indemnification
You agree to indemnify and hold Beacon harmless from any claims, damages, or expenses arising from your violation of these terms, your misuse of the service, your violation of any law, or your infringement of any third-party rights through your use of the service.
Changes to these terms
We may update these terms from time to time. For material changes we'll notify account owners by email and post the updated terms here with a revised "Last updated" date. Your continued use after a material change constitutes acceptance.
